Privacy Policy

How Cado collects, uses, protects, retains, and shares information across the website, booking, payment, service, analytics, and Ask Cado workflows.

Information collected

  • Name, email, telephone number, mailing address, and communication preferences.
  • Service address, ZIP code, property type, size, rooms, condition, pets, surfaces, parking, access needs, dates, service selection, and instructions.
  • Account, quote, booking, service, add-on, discount, support, and acceptance records.
  • Billing address, authorization and payment status, transaction identifiers, refunds, and limited card references supplied by the payment provider.
  • Disclosed operational photographs for condition, scope, safety, damage, quality, or completion.
  • Commercial or turnover property profiles, inventories, contacts, and instructions.
  • Marketing consent, unsubscribe, STOP, opt-out, and suppression records.
  • IP address, browser and device type, referring page, approximate region, security and diagnostic logs, consent choices, and privacy-safe conversion events.
  • Ask Cado messages and information a visitor chooses to submit for human follow-up.

Do not submit Social Security numbers, government IDs, medical information, passwords, complete card numbers, security codes, alarm or access codes, or unnecessary sensitive information through a general form, email, text, or Ask Cado.

Sources

Cado collects information directly from the individual or an authorized person, through the website and booking and payment tools, during service, from communications, and automatically through hosting and security systems. Cado may receive limited information from property managers, hosts, referral partners, public business listings, or social platforms when a person contacts Cado through those services.

Purposes

Cado uses information to answer inquiries; prepare estimates; determine service area, scope, price, timing, and safety; administer bookings and service; communicate; process payments and refunds; document condition and quality; operate Ask Cado; prevent spam, fraud, misuse, and incidents; troubleshoot and improve the website; send consented marketing; comply with law; enforce agreements; and protect people, property, and legal rights.

Payment information

BookingKoala supports booking and Stripe processes card payments. Card data entered in approved payment fields is handled by those providers under their practices. Cado does not intentionally receive or store complete card numbers or security codes. Never send complete card data to Cado through email, text, Ask Cado, or a general form.

Service providers and disclosures

Cado may disclose information when required by law, lawful process, safety or fraud investigation, protection of rights or property, an insurance claim, or a legitimate business transaction with appropriate safeguards. Cado does not publish customer addresses, photographs, reviews, or service details for marketing without appropriate permission.

  • Stripe for card authorization, payment, refund, fraud prevention, and support.
  • Hostinger for hosting, infrastructure, security, and server logs.
  • Resend for inquiry, confirmation, notification, and consented email delivery.
  • OpenAI for Ask Cado responses.
  • PostHog for optional, consented, privacy-minimized website analytics.
  • Sentry for privacy-minimized website and API error diagnostics without session replay.
  • Professional advisors, insurers, accounting and payment providers, authorities, and transaction participants when reasonably necessary and lawful.

Ask Cado

Ask Cado is an automated assistant using an approved business knowledge base. It may make mistakes and cannot guarantee availability, change pricing, waive policies, or provide emergency, legal, medical, financial, or safety advice. Relevant input is sent to OpenAI through the API. Cado configures requests without routine application-state storage where practical and does not send chat text to analytics. OpenAI may retain limited abuse-monitoring data under its current API controls and legal requirements. Do not submit access codes, complete payment details, IDs, health information, or other unnecessary sensitive data. A visitor can request human follow-up.

Cookies, analytics, and advertising

The website uses technologies necessary for security, forms, session continuity, booking handoff, consent preferences, and privacy-minimized error diagnostics. Sentry may process limited technical error information needed to identify website or API failures. Cado configures Sentry without session replay or intentional collection of names, contact details, form messages, card data, Ask Cado conversations, or access codes.

Optional PostHog analytics does not activate until a visitor selects Allow analytics. If enabled, Cado records only approved events such as page paths, booking-link use, form outcomes, service-finder results, and general ZIP-coverage results. Cado does not intentionally send names, email addresses, telephone numbers, street addresses, full ZIP entries, card information, chat contents, or sensitive free-form text to PostHog. Visitors may reopen Privacy choices in the footer and select Essential only.

Cado does not sell personal data and does not use personal data for targeted or cross-site behavioral advertising. Cado will update this Policy and consent controls before activating an advertising pixel or changing that practice.

Marketing email and text

Transactional service messages are separate from optional marketing. Marketing email uses accurate sender information, non-deceptive subjects, Cado's valid postal address, and a clear unsubscribe method. Cado honors email opt-outs within 10 business days and keeps a suppression record. Marketing texts require a separate approved consent process; consent is not required to purchase service. Supported opt-out words, including STOP, will be honored. Message and data rates may apply.

Cado Care Notes uses confirmed opt-in. SMS marketing and Quo automation remain deferred.

Photographs

Operational photographs are taken only when disclosed and reasonably needed for qualification, arrival or completion condition, safety, scope exceptions, damage, quality, or a signed turnover or commercial requirement. Cado tries to avoid people, mail, IDs, screens, family photos, codes, and unrelated private details. Marketing use requires separate affirmative permission. Cado does not use routine service photographs for facial recognition or biometric identification.

Retention

  • Unconverted inquiries: 12 months after last interaction.
  • Customer profiles, bookings, accepted policies, service records, and ordinary communications: seven years after last service.
  • Payment, refund, tax, and accounting records: seven years.
  • Routine residential operational photographs without an issue: 90 days after service.
  • Turnover or commercial completion photographs: 12 months, unless the signed agreement requires a shorter period.
  • Incident, damage, insurance, chargeback, or legal evidence: seven years after closure, or longer under a legal or insurer hold.
  • Ask Cado content held by Cado: no routine long-term conversation store; a requested human handoff becomes an inquiry and follows the inquiry or customer schedule.
  • Privacy requests and responses: three years after closure.
  • Marketing consent and suppression records: for the relationship and six years after the last marketing action or opt-out.
  • Ordinary security and diagnostic logs: 30 to 90 days unless needed for an incident.
  • Access codes and digital credentials: only while needed for active service, then deleted or disabled within 24 hours after confirmed termination where Cado controls them.

These are maximum working periods, not promises to retain every record for the full period. Cado may keep records longer for a legal hold, insurer instruction, fraud or safety need, tax duty, or other lawful reason and may delete or de-identify sooner when no purpose remains.

Security and breaches

Cado uses reasonable safeguards appropriate to a small service business, including least-privilege access, unique accounts, multi-factor authentication where available, protected credentials, limited photo and code access, device security, vendor review, backup, and an incident-response process. No system is completely secure. Cado investigates suspected breaches and provides notices required by applicable law. Indiana law may require notice to affected residents and the Indiana Attorney General when covered personal information is compromised.

Choices and privacy requests

Contact Cado to request access, correction, deletion, or a copy of certain personal information, or to opt out of marketing. Cado may retain information needed for a contract, payment, safety, fraud prevention, a legal duty, a claim, or a suppression record. Cado may verify identity and authority. Where applicable law grants additional rights, Cado will process them under that law. Cado's target response time is 45 days; Cado will explain a denial and provide an internal appeal by replying “Privacy Appeal.”

Indiana's Consumer Data Protection Act took effect January 1, 2026 and applies only at statutory thresholds. Based on Cado's current launch scale and stated no-sale practice, Cado does not expect to meet those thresholds, but voluntarily follows the core access, correction, deletion, transparency, minimization, and opt-out principles described here. Applicability will be reviewed at least annually.

Children

The website and services are for adults arranging cleaning services. Cado does not knowingly seek personal information from children under 13. A parent or guardian may request review and deletion where appropriate.

Policy changes

Cado may update this Policy as services, vendors, practices, or law change. The current version and effective date will be displayed. Material changes receive appropriate notice before taking effect where required.
